When you join our team as a Payroll Specialist, you will play a pivotal role
in ensuring the accurate and timely processing of hourly payroll for Interfor’s
Canadian sawmills, with a strong focus on compliance with union agreements and
exceptional service delivery. This position is key in maintaining accurate
payroll data, including managing new hires, employee changes, and terminations
across our Canadian Operations. As a vital team member, the Payroll Specialist
will also provide support and backup to the broader payroll team, contributing
to seamless payroll operations.

What You’ll Do

  • Payroll Processing
    • Accurately process weekly and bi-weekly payroll for unionized and non-unionized hourly employees across multiple sawmills, ensuring strict compliance with collective agreements, company policies, and deadlines.
    • Review and validate employee timecards, attendance records, and overtime to identify and resolve discrepancies promptly.
    • Execute time and attendance system processes, ensuring seamless integration with ADP payroll for accurate payroll execution.
    • Perform month-end close activities, including preparing payroll-related journal entries, accruals, and reconciliations with a high degree of accuracy.
    • Generate and distribute payroll-related reports, including G/L, Workers’ Compensation, DOL filings, and other compliance-related documentation.
    • Interpret and apply collective agreement provisions to ensure accurate payroll calculations, including overtime rules, shift differentials, and benefits administration.
    • Act as the primary payroll contact for HR and Operations teams regarding union-related pay issues, fostering strong collaboration and effective issue resolution.
    • Assist with remittances and reporting for union pension plans, RRSP contributions, and statutory withholdings.
    • Provide expertise and guidance during collective bargaining or audits to ensure payroll compliance with union agreements.
  • Compliance and
    Administration

    • Maintain meticulous employee payroll records, adhering to privacy legislation and internal controls.
    • Complete year-end processes, including T4 preparation, CRA remittances, and WCB filings.
    • Stay updated on changes in labor laws, tax regulations, and union agreements to ensure compliance in payroll practices.
    • Create and maintain detailed documentation, including standard operating procedures and user guides, to support payroll processes and compliance.
    • Customer Service
    • Deliver exceptional support to employees by responding to pay-related inquiries with professionalism and empathy, particularly regarding union-specific payroll issues.
    • Collaborate with HR, Operations, and Finance teams to resolve payroll discrepancies and enhance overall employee satisfaction.
    • Identify trends in payroll inquiries and proactively recommend process improvements to enhance service delivery.
    • Provide training and guidance to HR and Operations teams on payroll procedures and systems.
  • Other Responsibilities
    • Support payroll-related audits, projects, and system enhancements, ensuring continuous improvement and operational efficiency.
    • Act as a backup for other payroll team members, covering salaried and hourly Canadian and U.S. payroll as needed.
    • Collaborate with cross-functional teams to support employee programs related to attendance, leave administration, and benefits coordination.

What You Offer

  • Minimum 4+ years of experience with full-cycle payroll processing, ideally in a unionized environment.
  • Experience with ADP Workforce Now and UKG Workforce Management (Kronos) is preferred.
  • Advanced proficiency with Microsoft Excel and familiarity with Word and Outlook.
  • Payroll Compliance Practitioner (PCP) designation is a strong asset.
  • Accounting experience or familiarity with payroll-related journal entries and reconciliations is an asset.
  • Valid driver’s license and ability to travel to sawmill operations as required.
  • Comprehensive understanding of labor agreements and their application in payroll processing.
  • Strong organizational and multitasking skills with the ability to prioritize tasks and meet critical deadlines.
  • High level of integrity, professionalism, and commitment to confidentiality.
  • Strong analytical skills for identifying and resolving payroll discrepancies with precision.
  • Exceptional attention to detail and accuracy in data processing and reporting.
  • Effective communication skills, with the ability to engage confidently with employees across unionized and non-unionized environments.
  • Proven ability to handle confidential information with discretion, tact, and diplomacy.
  • Self-motivated and able to work independently while contributing positively to a collaborative team environment.

What We Offer

Interfor has posted the following expected salary range that the company believes in good faith could be offered to successful candidates. The salary offered is benchmarked to current market conditions and will also be based on numerous factors which can include work experience, skills, credentials, education, and other relevant factors. In addition to a competitive salary, you will receive a competitive benefits package and be able to participate in our Short-Term Incentive Bonus plan, with the payout amount subject to individual and corporate performance. Expected range: $65,000 – $85,000
