Recruitment Coordinator, Burnaby, British Columbia
When you join our team as a Recruitment Coordinator, you will
provide administrative support and coordinate activities related to Talent
Acquisition, enabling our Recruitment Advisors to focus more on strategic
sourcing and partnering with the business on complex hiring needs. This role
will also offer support to the Learning & Development and HR Systems teams
as needed.
This role will require you to be on-site at our Metrotown Corporat Office 5 days a week, with flexibility for hybrid work on an as needed basis.
What You’ll Do
- Draft and post compelling job ads across internal and external platforms, accelerating time-to-market and giving Advisors more bandwidth for passive candidate outreach.
- Coordinate and schedule interviews for both in-person and virtual settings across several time zones, ensuring a seamless experience for hiring managers and candidates.
- Prepare interview guides, feedback forms, and onboarding materials, supporting a consistent hiring process.
- Coordinate background checks, references, and offer documentation, streamlining the process while reinforcing a positive candidate experience.
- Generate and distribute recruitment reports and metrics, enabling Advisors to refine sourcing efforts, adjust to market intel, and continuously improve talent acquisition service delivery.
- Coordinate Campus Recruitment activities to support the identification and onboarding of future supervisors, including posting roles in the ATS, managing logistics for campus events and career fairs, attending as needed, and facilitating offer and onboarding processes for student hires.
- Support recruitment marketing initiatives and coordinate logistics for events such as career fairs and school partnerships, amplifying our presence in key talent markets and strengthening our brand among emerging and experienced candidates.
- Provide general administrative support to ensure smooth departmental operations, including managing contract administration, processing invoices, documenting best practices, and removing operational barriers so Recruitment Advisors can focus on strategic sourcing and talent engagement.
What You Offer
- Currently working towards or completed business degree with a concentration or major in Human Resources Management or related field. A CHRP designation or working towards one is considered an asset.
- Minimum of 2 years of experience in an HR, recruitment, or administrative support role, preferably within a fast-paced or high-volume talent acquisition environment.
- Experience coordinating interviews, events, or programs across multiple stakeholders or regions is strongly preferred.
- Exposure to campus or early talent recruitment programs is an asset.
- Hands-on experience with applicant tracking systems (ATS) and HRIS platforms preferred.
- Proficiency with MS Office Suite (Outlook, Excel, Word, PowerPoint) and collaboration tools (e.g., MS Teams, Zoom, SharePoint).
- Ability to travel occasionally in the US and Canada to attend campus events or support onsite recruitment activities.
- Flexibility to work across different time zones as needed.
- Works closely with Recruitment Advisors and HR teams to support strategic goals, while being flexible and solution-oriented.
- Comfortable in a fast-paced environment with shifting priorities, proactively addressing challenges without constant supervision.
- Ability to manage multiple priorities, coordinate complex scheduling needs, and keep processes running smoothly across time zones and stakeholders.
- Strong written and verbal communication to interact professionally with candidates, hiring managers, external partners, and campus representatives.
- Strong attention to detail to ensure accuracy, and discretion in handling information of confidential and/or sensitive nature.
- Delivers a seamless and positive experience for both internal clients (Recruitment Advisors, hiring managers, etc.) and external stakeholders (candidates, vendors, etc.).
- Comfort using applicant tracking systems (ATS), scheduling platforms, and HR tech to manage workflows, maintain accurate data, and enhance efficiency.
- Able to generate, interpret, and communicate recruitment data to inform sourcing strategies and improve service delivery.
- Demonstrated ability to leverage AI-driven platforms or technologies to enhance areas of the recruitment process, while understanding how to integrate AI tools ethically and effectively in sourcing, screening, and candidate engagement.
